How Far in Advance to Book Each Vendor
Book too late and you're choosing from whoever's left. Here's the real lead time for every vendor category on the Treasure Coast — and how snowbird season changes the math.
Venues
9–12 monthsThe scarcest resource books first. Waterfront and popular Saturday dates in season can go 12–18 months out. If you're flexible on a Friday or Sunday, you'll have far more options.
Event Planners
9–12 monthsBook alongside the venue if you want full-service planning — a good planner's vendor relationships will save you more than their fee. Day-of coordinators can be booked 3–6 months out.
Photographers
6–9 monthsThe best shooters book Saturdays fast, especially in season. Don't choose on price alone — review full event galleries and make sure you like their unposed, real-moment work.
Private Chefs
2–4 monthsFor most dates, a few months is plenty — but holiday weekends (Thanksgiving, Christmas, New Year's) and Valentine's Day can book 6+ months out. Menus need tasting and planning time, so earlier is always calmer.
Music & DJs
4–6 monthsLive bands go earliest; DJs have more availability but the good ones still fill season Saturdays. Ask whether they've worked your venue — load-in logistics matter.
Florists & Decor
3–6 monthsDesign consultations take time, and flower availability is seasonal. For elaborate installations, lean toward 6 months; simple centerpieces can come together in weeks.
Cakes & Sweets
2–4 monthsTastings, design, and production scheduling. Wedding cakes in season: 4+ months. A birthday cake from a great local baker: a few weeks can work.
Rentals
2–3 monthsTents, tables, chairs, and lighting are usually available on shorter notice — except for large tents in season, which should be reserved 4–6 months out. Always get delivery and teardown times in writing.
The snowbird season effect
Roughly November through April, the Treasure Coast's population swells — and so does demand for every vendor on this list. During season, treat the ranges above as minimums and add a few months, especially for Saturdays. Holiday weekends are their own category: book those nearly a year out or prepare to be flexible.
The summer advantage: May through October is the Treasure Coast's quiet stretch. Vendors have wide-open calendars, venues offer deals, and you'll often get faster responses and better pricing. If your date is flexible, summer is the insider move.
What if you're late?
Don't panic — shift strategy instead of settling. Consider a Friday or Sunday, ask booked vendors for referrals (the good ones know each other), and be decisive: when you're booking late, the couples who decide fast get the remaining great vendors, and the hesitant ones get whoever's left.
